Position Description

THE TEAM

Mipela achieves its success through our three-pillar approach in promising, delivering and supporting our clients. We provide this through the following teams: Client Success, Solutions and Administration. The Administration Team is responsible for connecting all internal areas with service and support in reception, office administration, logistics, human resources and finance in supporting our Clients. Reporting to the Finance Manager, the Finance Coordinator is responsible for supporting the business with service and support across all finance accounts payable and receivable administration activities.

 

KEY PURPOSE

Deliver professional, efficient and effective finance administrative support to thriving technology-as-a-service business.

RESPONSIBILITIES

Finance Support
  • Provide excellent customer service to internal and external stakeholders, such as suppliers, clients and staff on matters relating to Accounts Receivables (AR) and Accounts Payables (AP).
  • Ensure invoice and payment requests comply with corporate procedures and delegations
  • Assist in the development, implementation and continuous improvement of Accounts processes and systems which focus on best practice, in order to achieve the most efficient practices possible
  • Inputting of financial data as required to maintain accurate and up-to-date financial records
  • Provide administrative support and assistance to the Finance Manager
Accounts Receivable
  • Utilise WorkFlow Max, Xero and X-Info Connect (internal system) to maintain accurate records such as job management, invoicing and time sheeting
  • Create and check customer invoices as required
  • Reconcile AR agreed interval
  • Report on invoicing and receivables monthly, or as required by management, including debtor days and other KPI’s
  • Verify any account discrepancies
  • Follow up, collect and allocate client payments
  • Ensure AR procedures are up to date
  • Filing and data entry
  • Investigate and resolve customer queries
  • Process credit note adjustments with Managers approval
  • Following up Purchase Order numbers
  • Assist in month end processes
  • Other general AR tasks
Accounts Payable
  • Maintain an up-to-date accurate invoicing system
  • Enter all approved tax invoices into Xero and schedule payments
  • Ensure client reimbursable expenses are entered into WorkFlowMax for invoicing and Tax Invoice is issued
  • Reconcile AP monthly
  • Verify any expense discrepancies
  • Ensure Accounts Payable procedures are up to date
  • Filing and data entry
  • Investigate and resolve supplier queries

Other general AP tasks

Team Work
  • Contribute to the effectiveness of the Administration team by sharing knowledge, participating and collaborating with other team members
  • Support Mipela and its staff in efficient and effective finance administration
  • All other duties as and when required

 

KEY ATTRIBUTES

  • Relevant bookkeeping or Accounts Payable and Receivable experience would be desirable
  • Excellent communication, organisational and interpersonal skills
  • Professional telephone manner and presentation skills
  • Experience with Microsoft Office suite, Xero and WorkFlowMax
  • Attention to detail
  • Ability to prioritise and meet deadlines
  • The ability to think on your feet and have a go
